1. Who We Are and Scope
Vortivex LLC (“Vortivex,” “we,” “us,” or “our”) is a Delaware limited liability company providing IT staffing and contractor-coordination services. We connect U.S. businesses with screened independent IT professionals who may be located outside the United States.
This Policy applies to information collected through vortivex.ai, staffing-request forms, technician applications, email, interviews, technical assessments, identity verification, reference verification, contracts, payment administration, and related business communications.
2. Information We Collect
Client and business-contact information
- Company name, contact name, business email, and optional phone number.
- Requested role, staffing level, coverage schedule, expected start timeline, technical requirements, and engagement details.
- Emails, meeting notes, proposals, contracts, invoices, and other business communications.
Technician applicant and contractor information
- Name, email, phone number, country, time zone, and availability.
- Resume, employment history, years of experience, technical skills, certifications, education, and LinkedIn or other professional profile links.
- Interview notes, technical-assessment results, screening decisions, role preferences, and client interview feedback.
- Identity-verification and reference-verification information, including information provided by references.
- For selected contractors: agreements, tax-status documentation, payment instructions, approved hours, payment statements, and engagement records.
Website and technical information
- IP address, browser and device information, timestamps, requested pages, referral data, and security-event information.
- Information processed by Cloudflare for hosting, content delivery, HTTPS, security, bot mitigation, and performance.
- Information submitted through Formspree, including form contents and submission metadata.
Do not submit passwords, client credentials, patient information, government identification numbers, banking details, medical information, or other highly sensitive information through public website forms or ordinary email.
3. Sources of Information
We may receive information directly from you; from references you authorize us to contact; from public professional sources such as LinkedIn and certification-verification resources; from clients evaluating or supervising a staffing engagement; and automatically from website and security service providers.
4. How We Use Information
- Respond to staffing inquiries and evaluate client requirements.
- Review technician applications and assess qualifications, experience, communication, identity, and references.
- Match prospective contractors with potential client opportunities.
- Present relevant candidate information to prospective clients and coordinate interviews.
- Administer contractor agreements, assignments, approved hours, payment calculations, payment statements, and payments.
- Maintain business, accounting, tax, security, screening, and engagement records.
- Prevent spam, fraud, abuse, unauthorized access, and unlawful activity.
- Comply with legal, contractual, tax, sanctions, and regulatory obligations.
- Establish, exercise, or defend legal claims and resolve disputes.
- Improve our website, forms, staffing process, and operations.
Submitting an application does not create employment or contractor status, guarantee placement, guarantee any assignment, or guarantee minimum hours or compensation.
5. Legal Bases Where Applicable
Depending on applicable law, we may process information based on consent, steps requested before entering a contract, performance of a contract, compliance with legal obligations, and legitimate interests in operating, securing, documenting, and improving our staffing business.
6. How We Disclose Information
We may disclose information to:
- Prospective and current clients when evaluating a technician, conducting interviews, onboarding an approved contractor, administering an engagement, or addressing performance or security matters.
- Technicians and applicants when communicating opportunities, client requirements, interviews, or engagement details.
- Service providers supporting hosting, form processing, email, communications, document storage, identity or reference verification, accounting, payments, and professional services.
- Professional advisers, including attorneys, accountants, auditors, insurance professionals, and compliance advisers.
- Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, property, or security.
- Transaction parties in a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
Vortivex does not sell personal information for money and does not knowingly share it for cross-context behavioral advertising.
7. Service Providers
- Cloudflare: domain services, website delivery, hosting, HTTPS, performance, and security.
- Formspree: website-form processing, form-submission storage, spam protection, and email notifications.
- Google Workspace: business email and related workspace services.
- Google Fonts: font delivery; technical data such as IP address and browser information may be transmitted to Google when fonts load.
These providers operate under their own terms and privacy notices. We may add, replace, or remove providers as our operations develop.
8. International Transfers
Vortivex is based in the United States and works with prospective and active independent contractors in other countries. Information may therefore be stored or processed in the United States or another country where Vortivex, a client, contractor, or service provider operates. Privacy laws may differ by country. Where required, we will use appropriate lawful safeguards for international transfers.
9. Data Retention
We retain information only as long as reasonably necessary for staffing consideration, future opportunities, engagement administration, accounting, tax, security, legal compliance, and dispute resolution.
- Client inquiries and business communications may be retained during and after the relationship for legitimate business and legal-record purposes.
- Technician applications may be retained for current and future opportunities unless deletion is requested and no lawful or legitimate reason requires continued retention.
- Contracts, payment, tax, and engagement records may be retained for legally required periods and reasonable business-record practices.
10. Security
Vortivex uses reasonable administrative, technical, and organizational safeguards appropriate to its current operations and the nature of the information involved. These may include limited access, account authentication, HTTPS, service-provider controls, confidentiality obligations, and removal of access when no longer needed.
No website, email system, storage platform, or transmission method is completely secure. We cannot guarantee absolute security.
11. Your Privacy Rights
Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, objection, withdrawal of consent, portability, or information about recipients and categories of data.
Submit a request by emailing info@vortivex.ai with the subject line Privacy Request. We may verify your identity. A request may be limited or denied where permitted by law, including when records must be retained for tax, contract, security, legal, or dispute-resolution purposes.
Vortivex will not unlawfully discriminate against a person for exercising an applicable privacy right.
12. California Notice
California privacy laws apply only when specified statutory thresholds or circumstances are met. Vortivex may not currently be subject to every requirement of the California Consumer Privacy Act. Vortivex nevertheless does not sell personal information and does not knowingly share it for cross-context behavioral advertising. California residents may contact us to request access, correction, or deletion, and any legally applicable request will be handled under governing law.
13. Children’s Privacy
Our website and staffing services are intended for businesses and adults. They are not directed to children under 18, and we do not knowingly collect children’s personal information through our staffing forms.
14. Third-Party Links
Our website may link to third-party websites or platforms. We do not control their privacy, security, availability, or content. Review their privacy notices before providing information.
15. Changes to This Policy
We may update this Policy as our services, forms, service providers, staffing processes, or legal obligations change. The “Last updated” date will identify the latest revision. Material changes may be communicated through the website or another reasonable method where required.
